A spreadsheet is not a failure. It may be the simplest reliable system for a small operation. The question is whether the team can keep one accurate record and act on it on time.
Keep the sheet if
One owner can update it consistently, access is controlled, and the team can see the next action without duplicate entry. Add simple validation and a regular review before replacing it.
Consider another system if
Multiple people repeatedly overwrite or miss changes, field and office staff need timely updates, or important work depends on manual copying between sheets. Document the failure first, then evaluate a tool on that exact handoff. Plan how data will be exported and who will own the new system.
